What We Provide

 

End-to-End Community Management

Billing, accounting, mailing, vendor management, homeowner communication, violation inspections and everything in between.

Transparent Accounting Practices

We employ a CPA firm to review all monthly financial reports for accuracy prior to publishing. All paid invoices accompany your monthly financial package posted to the board portal for your review at any time and we don’t spend any money (outside of contractual obligations or budgeted items) unless majority of the board approves the expense.

Vigilent AR and Collections

We strictly follow your collection policy and stay on top of your attorney to collect or assist in finding a new attorney that will perform. This allows for a uniform application of AR practices to all owners and avoids undue risk.

Let's Talk Transition

 

It’s no walk in the park to on-board a new community but it’s not your problem to deal with. We handle everything. A typical transition involves the tasks below and begins the day we confirm your outgoing management firm has been notified by the Board of Directors:

    • Typical transitions take 60-90 days
    • All association and homeowner files are obtained from current management firm
    • 90 days funding requested immediately and all association bank accounts closed once transition complete
    • New bank accounts opened with BB&T Bank
    • Homeowner information and account histories inputted and loaded to TOPS operating platform
    • All properties geo-coded for violation inspections to ensure accuracy
    • 145+ other procedural tasks needed

 

So, how much will this cost us?

Our approach to management costs is very simple and transparent. We do not charge your community for copying, record keeping, faxes, incoming calls or other junk fees charged by management companies.

Instead, we take the approach that you should know what it will cost to manage your association up front so that there are no surprises or tough conversations six months into the contract term about what’s listed on our invoice.

The association will only bear the cost of managing the community- not cover our overhead. If we need to send a past due notice or violation letter to a homeowner and our mail house charges us $1 to send it then we charge you $1. It’s that simple and there is no markup. Internal administrative costs related to managing your community should be included in the base management fee. At least, that’s how we see it.

Our goal is to provide more value than what you pay for. If we do that, we’ll both be happy and we can focus on engaging and benefiting your community instead of taking up an entire board meeting going over line item charges on one of our invoices.

Q&A

Q: What’s this setup fee all about?

A: As soon as our contract is executed we will begin working behind the scenes to on-board your association along with gathering what we need from your exiting management firm. The setup fee covers the overhead cost involved prior to the contract start date- usually 60 days.

Q: What is this collection fee charged to homeowners?

A: Delinquent homeowners cause more work for a management company to collect past due assessments. Therefore, that additional time spent to contact them, prepare delinquency notices, coordinate with attorneys, etc. comes at a cost. A cost that should not be charged to the association. Instead, the additional cost is passed through to the homeowner and is added to their balance. The association pays the fee up front and is reimbursed when the homeowner brings their account current.

Q: When would the state mandate a certified letter be mailed?

A: Before a fine can be charged for violation, suspend access to the association common area, or before formal collection action can be taken, i.e. referring to a collection attorney for past due assessments. (Texas Property Code, CH. 209)
